Providing employees and candidates with clarity on their net earnings is a vital part of the modern HR experience. Whether during a promotion, a role change, or a new hire offer, manual salary calculations are often slow and complex to generate. The Challenge of Manual Salary Projections

When a candidate asks for a net salary indication or an employee considers a contract change, HR or payroll teams often have to run manual simulations. This process is time consuming and can lead to “back and forth” communication that slows down the hiring or promotion process. Without a self service or automated tool, providing accurate net earning scenarios for different “what if” cases is a significant administrative drain.

The Solution: Real Time Payroll Simulations

The Process Manager serves as a high speed extension that connects the user interface with the administrative expertise of the organization. This allows for the generation of professional and accurate salary simulations without unnecessary delays.

Step 1: Process Initiation via ESS or MSS

The journey begins on the dashboard or within SAP SuccessFactors. While the configuration allows salary managers to request a pro forma for a selected employee, in this scenario, the employee initiates the process for themselves via Employee Self Service (ESS).

Step 2: Automated Data Population

Upon opening the form, fields such as salary group, step, and current working hours are automatically filled with information retrieved in real time from SAP SuccessFactors. This ensures the basis for every calculation is 100% accurate.

Step 3: Customizing the Simulation

The employee can configure the calculation entirely to their preference by selecting various scenarios or booleans:

  • Promotion: Simulating a move to a higher salary grade.
  • Salary Step: Selecting a specific step within the grade.
  • RSP Percentage: Entering a specific percentage for the Relative Salary Position.
  • Working Hours: Adjusting the working hours to see the impact on net pay. The employee can also add a comment that will be visible to the administration in the next step.

Step 4: Administrative Review and Document Generation

After submission, the payroll administration receives a notification. They review the entered data and scenarios. Instead of manual data entry into the HRIS, they add the official pro forma calculation or calculations as an attachment to the workflow. The administration has the option to add a comment for the initiator and can approve or decline the request.

Step 5: Secure Delivery and Notification

Once the administration approves the request, the employee receives an immediate notification that the pro forma is ready. The document is safely stored within the platform and can be viewed directly by the employee.
